This is a free build spec for a status-aware estimate follow-up system. It lays out six checkpoints, from the moment you send a quote to the moment the job lands in your pipeline as won or lost, and for each one names an owner, a piece of evidence, a pass condition, and an exception route for when the customer goes quiet. Open it, fill in your own owner and evidence per step, and you have a spec you can hand to whoever configures your CRM.
You did the job right up to the estimate. Drove out, scoped it, priced it fairly, sent a real number. Then nothing. No text saying they need a day to think, no call back, just quiet. Most owners have no actual system for that moment, just a mental note that fades by the time the next job comes in, and the quote just expires unclosed.
The blueprint documents the operating path most quoted jobs actually travel, whether anyone wrote it down or not: a quote goes out, delivery gets confirmed, a question shows up or it does not, a follow-up fires, a decision gets made one way or the other, and the pipeline record gets updated to match reality. Six checkpoints, in that order, every time.
What makes it a build spec instead of a vague framework is that every checkpoint carries the same four fields: who owns it, what evidence proves it happened, what condition has to be true to move to the next step, and what the exception route is when it does not go cleanly. That last field is the one most homegrown follow-up processes skip entirely, which is exactly the gap where quoted jobs go quiet and stay quiet.
This is a build specification, not an importable file for GoHighLevel, HubSpot, or any other platform. You (or whoever runs your CRM) still configure the actual reminders and stages. What this gives you is the map of what to configure and in what order, plus a worked example already filled in so you are not staring at six blank rows.

In that sample, close rate moves from an 18 percent baseline to 32 percent once every checkpoint has a named owner and a stated exception route. That number belongs to the sample file, not to a real customer result, and your own baseline is whatever your last 20 estimates actually show.
